Frequently Asked Questions
Everything you need to know about AI automation for small businesses — answered in plain English.
General
Business automation uses software and AI tools to perform tasks that would otherwise require manual effort — things like sending follow-up emails, updating your CRM, booking appointments, or responding to customer inquiries. Instead of you or your staff doing these tasks by hand, a system handles them automatically based on rules or triggers you define.
AI helps small businesses punch above their weight. With the right automation, a 3-person team can handle the workload of a 10-person team. AI can qualify leads 24/7, answer customer questions instantly, send personalized follow-ups, and process data — all while you focus on serving clients and growing revenue. The ROI for small businesses is often higher than for large companies because every hour saved has a direct impact on profitability.
We work exclusively with small businesses and understand the unique constraints — limited budget, limited time, no dedicated IT staff. Every engagement is handled personally by Matthew Nottelmann. We don't sell you software licenses and leave you to figure it out. We build, implement, train, and support everything ourselves. You also won't pay enterprise prices — our solutions are priced for businesses with 1–20 employees.
Technical
Absolutely not. That's the whole point. We handle all the technical setup — connecting APIs, building workflows, configuring AI tools. Once everything is running, we train you and your team to manage it with simple dashboards and plain-English instructions. If something breaks or needs updating, you call us — not a tech manual.
We work with the most popular small business tools including Make (Integromat), Zapier, GoHighLevel, HubSpot, Zoho, Salesforce, Google Workspace, Calendly, Acuity, Mailchimp, ActiveCampaign, Twilio, Manychat, and dozens of others. We recommend tools based on your existing stack and budget — we're platform-agnostic.
In almost every case, yes. Modern automation platforms connect to thousands of apps via APIs. If you're using common business software (CRM, email, scheduling, accounting, e-commerce), there's almost certainly a way to integrate it. In the rare case a direct connection doesn't exist, we can often build a custom integration.
Yes. We use enterprise-grade automation platforms with SOC 2 compliance, data encryption, and strict access controls. We never store your customer data on our own servers. All data stays within the platforms you already use and trust.
Implementation
Most automation projects are up and running within 1–2 weeks. Simple projects (like appointment reminders or a lead capture chatbot) can be live in 2–4 days. More complex multi-system integrations typically take 1–3 weeks. We'll give you a clear timeline before we start so there are no surprises.
It starts with a free 30-minute assessment call where we learn about your business and goals. Then we create a custom automation roadmap. Once you approve, we build and test everything. We then train you and your team, and go live. After launch, we monitor the systems and provide ongoing support and optimization.
We provide ongoing support for all systems we build. If something breaks or an update to a third-party tool causes an issue, we fix it — usually same day. We also do proactive monitoring to catch issues before they affect your business.
Pricing
Pricing varies by project scope, but we're priced for small businesses — not enterprises. Most clients invest between $500–$3,000 for initial setup depending on complexity, with optional monthly support retainers starting around $150/month. We always provide a clear quote before any work begins. The free consultation is always no-cost and no-obligation.
Almost any service-based small business benefits significantly. The highest ROI tends to come from businesses that have high lead volume, repetitive customer communication, or complex scheduling — real estate, healthcare, contractors, professional services, marketing agencies, and local service businesses all see dramatic results.
No. Setup fees are one-time project costs. Monthly support retainers are month-to-month — you can cancel anytime. We earn your continued business by delivering results, not by locking you into contracts.
